We are seeking a highly skilled and experienced Office Administrator to oversee day-to-day operations and ensure the smooth running of the office environment. The ideal candidate will have a strong background in office management, excellent organizational skills, and the ability to manage multiple priorities effectively.


Key Responsibilities

  • Manage daily office operations to ensure efficiency and productivity.
  • Welcome visitors, answer phones, direct calls, maintain an organized reception area, and coordinate catering and meeting set-up.
  • Sort and distribute all incoming and outgoing mail in accordance with company policy.
  • Maintain and order office supplies and coordinate with the Office Administrator as needed.
  • Provide basic IT support and perform general office tasks, including filing and scanning.
  • Support HR with employee onboarding and workstation set-up.
  • Provide assistance to expatriates as required, particularly regarding interactions with local ministries and documentation processes.
  • Oversee vehicle and driver management, as well as arrangements for international travellers.
  • Act as the local HR and corporate relay, coordinating day-to-day administrative exchanges with headquarters and relevant internal departments as required.
  • Serve as the central day-to-day point of contact with Grant Thornton for the transmission of administrative and accounting-related documents, including invoices, bank statements, and other supporting information, without assuming responsibility for accounting review or validation.
  • Coordinate with vendors and arrange maintenance or repairs for office facilities and equipment.
  • Provide administrative support and act as the office’s First Aid Representative.
  • Take responsibility for ad hoc events, including coordinating and booking all related logistics and managing the associated budget to ensure smooth and cost-effective delivery.
  • Handle all travel logistics, including booking flights, hotels, and transportation using company platforms and tools, in accordance with guidelines.
  • Supervise office staff and support the negotiation of vendor contracts.
  • Manage executive calendars, coordinate travel, and handle correspondence and documentation.
  • Develop and implement office policies and procedures to streamline operations.
  • Manage the office budget, oversee administrative spending, and ensure financial efficiency.
  • Maintain up-to-date executive contact lists and act as a liaison with stakeholders.
  • Assist with special projects, expense reporting, and office supply management.
  • Anticipate executive needs and handle potential issues proactively.
  • Displays strong communication and interpersonal skills, with the confidence to interact effectively with colleagues at all levels of the organization.
  • Works effectively both independently and collaboratively, demonstrating initiative and a proactive approach to problem-solving.
  • Holds a bachelor’s degree in Business Administration, Office Management, or a closely related field.
  • Has a proven track record in office administration and operational management.
  • Demonstrates strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Shows strong leadership qualities and experience supervising teams.
  • Has advanced proficiency in office management software and digital tools.
  • Has knowledge of health and safety compliance standards.
  • Skilled in budget and expense management.
  • Builds and maintains effective professional relationships.
